Sourcing from a China Factory: A Practical Guide for AU, UK, US & EU Brands
Overseas sourcing works best when the development brief and the commercial scope are explicit. NEWCOM is based in Guangzhou, China; provide the destination country, your brand’s fit standard and the required delivery milestones before requesting a production quote.
1. Agree communication windows
Set an update schedule with the contact team using your current local time zone, including daylight-saving changes where applicable. Confirm who approves samples, how comments are recorded and which decisions require written sign-off. Static time-zone numbers on a website are not a reliable production communication plan.
2. Bring buyer-approved label and document requirements
List the material composition information, label wording and languages, product-specific testing and documents required by your buyer, retailer or importer. Confirm the applicable requirements with a qualified adviser or the relevant authority for the product and market. Do not assume that one generic textile label, mark or audit document works for every destination.
For EU-bound textile briefs, review the official EU textile-labelling guidance with the party responsible for market compliance. A social audit addresses a different scope from product testing or labelling and is not a legal guarantee of garment compliance or retailer acceptance.
3. Quote measurements, materials and quantities together
Send your tech pack or authorised design references with a base-size chart, units, grade rules, fabric direction and quantity breakdown by style, colour and size. NEWCOM’s published starting references are MOQ 100–150 pcs per style and sampling in 7–9 days; actual material minimums and dates are confirmed against the brief and revision scope.
4. Confirm the shipment scope instead of assuming transit times
State the destination warehouse or port, required delivery window and preferred freight arrangement. Ask the quotation to identify the shipment term, transport scope and cost inclusions. Sea, air or courier suitability and timing depend on the actual goods, route, service and current conditions; no fixed transit time or duty-paid delivery is promised by this article.
5. Connect the factory evidence to your order
Confirm the proposed production site and request evidence for that entity. NEWCOM’s supplied production profile and separately identified audit report describe different Qingyuan companies; review the document scope instead of assuming they cover the same site.
Approve fit, graded measurements, material and trim references, label artwork and packing before bulk. Agree the inspection criteria, payment milestones and delivery plan in writing. For a focused first range, use the small-batch planning guide and buyer enquiry kit.
Read the destination-specific briefs for Australia, the UK, the US and Europe, then send your own sourcing requirements.
